How to digitalize your company step by step

What company digitalization means

Digitalization means replacing paper, spreadsheets and disconnected applications with a single clear system in which data flows automatically between departments. The goal isn't to “have software”, but to save people time on repetitive work and get a real-time overview of what's happening in the company.

Most Slovak companies today run on a mix of Excel, e-mail and two or three unconnected programs. Every time data is retyped between them is time lost and room for error. This is exactly where digitalization begins.

Step 1: Map your processes

Before any software is even mentioned, you need to know how the company actually works. Go through the key processes — order, invoicing, warehouse, complaints — and for each one write down who does what, in which tool, and where delays arise. A simple question reveals the most: „Where do we retype the same data twice?“

Step 2: Set priorities by return on investment

You don't digitalize everything at once. Pick the process that takes the most time or causes the most errors and start with it. A quick win on one process convinces the company and funds the next steps. It typically pays to start with invoicing, the warehouse or order tracking.

Step 3: Choose a solution — off-the-shelf vs. custom

You have three paths: off-the-shelf boxed software, a universal ERP system (for example Odoo), or custom development. An off-the-shelf solution is cheap and fast, but you force the company to adapt to the software. A custom system fits your processes exactly, but requires a larger initial investment. Step 4: Connect what you already have

Digitalization doesn't mean throwing everything away. Accounting, an e-shop, a payment gateway or a courier can be connected via API so they exchange data automatically. The company therefore doesn't have to change everything at once — it gradually eliminates manual retyping.

Step 5: Deploy gradually and train your people

The most common cause of failed digitalization isn't the technology, but the people who don't use the system. Deploy in parts, one module at a time, with real training and support. A system that people work around is worse than none.
